Responsibilities:
- Greet office visitors by welcoming them and introducing them appropriately
- Answer, screen and forward all incoming phone calls and provide basic information when needed.
- Maintain employee and department directories
- Maintain security by following procedures and monitor a guest logbook
- Maintain a safe and clean reception and office area
- Management and scheduling of conference room facilities
- Receive, sort and send daily mail/deliveries/couriers
- Update appointment calendars and schedule meetings/appointments for senior managers
- Perform other clerical receptionist duties such as filing, photocopying, scanning, faxing, collating, stationary stock etc.
- Ensure the Kitchen is always stocked – ordering food on a weekly basis if necessary
- Maintain a stream of culture activities for the staff in the office
- Link up with the US office when possible
- Alert everyone in the office to birthdays/significant dates
- Maintain and update a calendar of events
- Keep office entertainment (films and music) updated
- Look after and maintain the company apartment – cleaning schedule, calendar etc.
- Book travel arrangements for staff, as required
- Attend and minute important meetings and produce follow on action item lists
- Track leave requests and update records
- Other duties as reasonably required by management
Key Requirements:
- Excellent written and verbal communication skills.
- Excellent ability to work in all standard computer programs, Microsoft suite etc.
- Experience working in similar job roles.
