• Greet office visitors by welcoming them and introducing them appropriately
  • Answer, screen and forward all incoming phone calls and provide basic information when needed.
  • Maintain employee and department directories
  • Maintain security by following procedures and monitor a guest logbook
  • Maintain a safe and clean reception and office area
  • Management and scheduling of conference room facilities
  • Receive, sort and send daily mail/deliveries/couriers
  • Update appointment calendars and schedule meetings/appointments for senior managers
  • Perform other clerical receptionist duties such as filing, photocopying, scanning, faxing, collating, stationary stock etc.
  • Ensure the Kitchen is always stocked – ordering food on a weekly basis if necessary
  • Maintain a stream of culture activities for the staff in the office
  • Link up with the US office when possible
  • Alert everyone in the office to birthdays/significant dates
  • Maintain and update a calendar of events
  • Keep office entertainment (films and music) updated
  • Look after and maintain the company apartment – cleaning schedule, calendar etc.
  • Book travel arrangements for staff, as required
  • Attend and minute important meetings and produce follow on action item lists
  • Track leave requests and update records
  • Other duties as reasonably required by management

Key Requirements:

  • Excellent written and verbal communication skills.
  • Excellent ability to work in all standard computer programs, Microsoft suite etc.
  • Experience working in similar job roles.
